Position Objectives:

Applications are being accepted for a legal secretary position, under the general supervision of the Clearwater County Attorney. This position serves as the first point of contact for the general public and performs administrative, clerical, and technical services for the County Attorney’s Office. Specifically, the position performs administrative duties to the office attorneys, including electronic filing, data management, assistance with trial preparation, documentation, and other duties as required.

Duties and Responsibilities:

·         Provide information to victims of all crime, including referrals through other agencies, to provide information about victim’s rights through the prosecution process, and provide information about court hearings through contact with victims by phone, letters or in person.

·         Assist victims in filing restraining orders, orders for protection, claims for reparations and/or claims for restitution, and other related documentation and filings.

·         Assist prosecuting attorneys with trial preparation including (if necessary) arranging transportation of victim/witnesses to and from hearings; and other direct services as needed, such as childcare services, communications, and other services of support for victims during the trial process.

·         Provide weekly statistical victim contact updates for annual victim services grant.  Assist with public awareness outreach and promotion.

·         Participation in annual victim advocacy training opportunities to ensure the office maintains up-to-date policies and best practices in victim services.

·         Maintain organization of office criminal files, including production of discovery materials to the defense and filing appropriate documents into statewide electronic filing and service system.

·         On rotation, attend weekly court hearings to provide up-to-date detailed communications with the victim(s).  Keep copies of correspondence and update electronic Case Files for each victim, within the active criminal files.

·         Liaise with law enforcement agencies as needed to gather evidence necessary to the prosecution process, including trial preparation and victim/witness contact.

·         Provide assistance with county attorney’s protected data/confidential employment services to department heads and supervisors.

·         Represents County Attorney’s Office by membership in local victim services organizations.

·         Other duties as necessary and required by office attorneys.

Minimum Requirements:

A Bachelor’s degree from an accredited college/university, in a related field such as criminal justice, social work, psychology, human services (including certification in victim services) OR Paralegal Certification,


And

 

18 months experience within the areas of victim services, the court system, law enforcement/criminal justice agencies, human services agencies, or other private foundations working in victim services,

 

And

 

MUST pass a criminal background check and possess a valid driver’s license and reliable transportation.

 

Knowledge/Skills/Abilities Required:

·         Must be able to read, write and communicate in English, with strong communication and interpersonal skills with co-workers, victims and the general public;

·         Ability to analyze situations and exercise independent judgment in the best interest of victims.

·         Knowledge of the Criminal Justice system, including legal terminology and the court system.

·         Skilled in the use of technology, with proficiency in MS Office software, and ability to learn additional software systems unique to law enforcement.

·         Ability to learn and employ methods and best practices in victim advocacy.

·         Ability to maintain confidentiality and protection of privacy as required by law, in working with sensitive and confidential data.

·         Ability to effectively serve the needs of a diverse caseload of victims and others throughout the stages of the prosecution process.

·         Knowledge of record-keeping practices and procedures, as well as general knowledge of record-retention, data privacy and HIPPA laws.

·         Ability to juggle and prioritize a variety of responsibilities, with frequent interruptions.
